Web Report for 2008 Meeting- Naval Club

To: NSOA General Committee

From: Sean Clarkson

Date: 8th May 2008

Report on Website

Since the last NSOA committee meeting at Alexandra Palace I have performed the following tasks, listed in chronological order.

·         Added albums to online gallery to categorise photos- inlands 07, Cowes 07 etc

·         Added minutes of committee meeting at Alexandra Palace to website

·         Performed extensive work so that all membership related pages- boat list, member list, committee list etc display in the same format as the rest of the site.

·         After forum module failed, organised restoring of forum from backup ASAP and added a banner across the top of the forum page to inform all people that we were aware of it and it was being looked into.

·         Organised reclaiming of www.squibs.co.uk domain name

·         After ‘E’ spent an hour on the phone, we have our domain back and is being managed by ‘E’ in their reseller account.

·         Organised the setting up of squibs email addresses- web@squibs.co.uk, membership@squibs.co.uka>, secretary@squibs.co.uk

·         After ‘E’ setup the email addresses I circulated the email addresses/passwords/info on how to use.

·         Setup an auto responder for all emails sent to the above email addresses.

·         Updated main site contact us page to send emails to these addresses/where personal email addresses were listed on the pages for secretary/membership secretary/web admin, these were changed to reflect the above addresses.

·         Changed email address to send photos for gallery to web@squibs.co.uk

·         In case of further failure of the forum, I changed the error page so that a contact email address for the web admin is displayed (web@squibs.co.uk) and you are told to notify that email address of the error.

·         In response to a request from Jenny Riley for more visual link on the home page to the nationals website, I made a scrolling banner and added it to the top of the homepage.

·         Created a logo to be displayed in the address bar of the internet browser and asked ‘E’ to upload it as I do not have access to that directory of the web server.

·         Organised changing of email address for the verification of new users/lost passwords for the main site from squibs@emw10.co.uk to donotreply-squibs@emw10.co.uk to avoid any confusion for people sending mail to squibs@emw10.co.uk which would have bounced back.

·         Organised transferring of squib membership system from squibs.emworx.com over to membership.squibs.co.uk

·         Updated main website so that all pages for boat list etc are linked over to the new subdomain.

·         Organised deletion of the domain squibs.emworx.com

·         After ‘E’ had setup the mail servers I setup the relevant ‘virtual’ email addresses so that they could be entered into the system.

·         As William Bibby created the membership system and knows it better than I do I asked him to enter the mail server addresses/virtual email addresses into the membership settings scripts- many thanks to him for doing this for me.

·         Created an updated version (to include euros) of the membership reminder letter that is inserted into the handbooks of members who haven’t paid this year.

·         Produced and printed 34 pages of address labels for Squib handbook and posted them to Weyprint for sticking onto the envelopes

·         Performed extensive testing once details had been entered into the membership system to ensure that the system fully works as intended.  All tests proved ok- the system works fully.

·         Done extensive work to modify the pages of the membership login area to make it display in the same format as the rest of site

·         Modified the scripts that are behind the scenes of the membership system so that if members have forgotten their membership number they can opt to have it emailed to them.

·         Performed extensive testing on this, all tests proved ok, it works as intended.

·         The membership login area is now fully functional, the website is in a fully working state, the online database now mirrors Sallys offline database.

Current work

  • Purchase further Squib domain names, as discussed at previous committee meeting.
  • In response to a request from Gerard, upload the last 3 issues of Randals yearly DVD’s to the site for viewing by all.
  • Update interactive Squib fleet map to reflect new numbers in Squib fleets.

Work for future

·         Once the boats have been sold from the temporary for sale forum, remove the forum, returning to the official for sale page.

  • Creation of a new improved forum- in response to complaints about the current one.
  • Online membership application?
  • Online application for open events?  Creation of my own system for this or the SailRacer system?
